A clean leave application—whether formal letter or email—gets approved faster, keeps your manager informed, and creates a paper trail that protects you during appraisal or disputes.

When to use a letter vs email in 2025

Most Indian companies have moved leave management to HRMS platforms like Darwinbox, Keka, or greytHR. But the written application still matters as backup documentation or primary request depending on your employer type.

Use the HRMS portal at mid-size and large companies (TCS, Razorpay, Swiggy, most Series B+ startups). Apply in-system first; the portal auto-notifies your manager and HR. Some policies still ask for an email confirmation—check your handbook.

6. Handover and availability Name the colleague covering urgent tasks or client queries. Mention if you will be reachable by email or phone for true emergencies. This single paragraph often decides approval speed.

7. Closing "Thank you for considering my request. Please let me know if you need any further information." Sign off: "Regards" or "Sincerely" for formal letters; "Thanks" or "Regards" for emails.
